Manage your workspace

If you have signed up for your own Lean-Case workspace, you have access to the Customer Area via the User Profile Menu in the upper right corner.

Most importantly, you can add and manage your Workspace Members so that they can set up their own Lean-Case projects. Workspace Members might be   

  • sales managers in your organization, 
  • startups in your portfolio or 
  • project managers of your clients projects.

Users who have been invited as Workspace Members do not have access to the Customer Area.


The Customer Area allows Workspace Owners to manage their Lean-Case workspace. Most notably, they can

  • invite members to their workspace and manage their status. 
  • maintain the subscription and billing status and
  • manage the branding - if using the Lean-Case Business edition 

Of course, they can access their Lean-Case projects from here as well.


Understanding User Types

To manage the Lean-Case workspace, you should understand that there are 4 types of users

  1. 1
    The Customer who has signed up for the workspace. The Customer can manage the subscription and the billing status, manage all members in the workspace and define Workspace Owners
  2. 2
    Workspace Owners who – like the customer –  can also manage the workspace, invite members to the workspace and add more projects to each member
  3. 3
    Full Members who have been invited to a workspace by any of its Owners. They can create their own Lean-Projects and share those projects with anyone else. 
  4. 4
    Guest Members. They have been invited to a project with editing or viewing rights but – because they are not Full members - they cannot create any project themselves. You are not billed for Guest Members.

Note that any user can be a member of several workspaces. For example, he can be

  • the Customer and Owner of his own workspace.
  • a full member of the workspace owned by his investor and
  • a guest member of a workspace, because he was invited to check out one of the Lean-Case projects on that space

Managing Workspace Members 

In the top bar, you find the Workspace Dropdown which shows the workspaces which are enabled for your email address: pick the one in which you want to work and click the button <Go> to access this workspace and access the Customer Area via the User Profile Menu 


In Customer Area > Workspace Member, you find the list of all members which is searchable.

As a workspace owner, you can

  • invite anyone as a Full Member to your workspace ,
  • manage their status

Invite a new member to your workspace by clicking the button <Invite New Members> at the bottom of the list. After sending the invitation, the new member will appear in the list with status "Pending Member". As long as the user has not accepted the invitation, he will be kept in this status and you will not be billed.

You can manage the status of each member via the button <Manage> available for each member.

Depending on the member's status, different functions are available via the button <Manage>.

  • as long as the user is in status "Pending Member", you are not billed for the user and can re-send or cancel the invitation.
  • once the user becomes a "Full Member" (upon accepting your invitation) she can start creating his own Lean-Case projects. As the Workspace Owner, you can then manage her "Full Member" status by
  • adding additional projects to increase her project limit
  • changing her status to "Owner" and make an Owner to become a Full Member again
  • deactivate the member (in this case the member’s project are still accessible for all users which were invited to them. You will no longer be billed for the user, but only for additional projects - if any had been granted to him - above his maximum of projects). You can later reverse this change and re-activate the user as a Full Member.
  • remove the member so that also all his projects will be deleted and are no longer accessible for anyone. You will no longer be billed for the user and any of his additional projects. This change is irreversible.

The Member List in the Customer Area also shows users with status "Guest Members".  Any of your Full Members have shared a Lean-Case Project with them which they can view or edit. Guest Members cannot create their own Lean-Case Projects but only view or edit those to which they were invited. As the Workspace Owner, you can

  • change the status of a "Guest Member" to "Full Member".
  • once the user becomes a "Full Member" (upon accepting your invitation), you can manage him like any other "Full Member" described above

Branding the Workspace

On top of managing all the membership, you can also brand your workspace if you bought a Lean-Case Business Edition. You can

  • define the look and feel of the menu by uploading a logo and defining its colors for the menu bar and its fonts
  • select default colors for all the charts which you use in Lean-Case projects and
  • specify the chart credits (which is the link displayed in the lower right corner of each chart)

Manage Subscriptions and Billing

As a "Customer", you can – of course – also manage your subscription and billing status by

  • upgrading your subscription
  • changing your Billing Address
  • changing your Payment Method and
  • downloading your invoice
